1. Who We Are
This Privacy Policy explains how Piedmont Elite Sports Performance Academy ("Academy," "we," "us," or "our") collects, uses, and shares information in connection with our Services. (The Academy's formal legal-entity name is being updated as part of a pending South Carolina business-name amendment; this section will be revised to name the confirmed legal entity once that process is complete.) 2. The Parent/Guardian-Managed Model
The Academy account is created and controlled by the parent or legal guardian (the "Account Holder"). The athlete participating in training (the "Athlete") does not have and does not need a separate account or login. Where the Athlete's information is described below (for example, assessment video or coaching notes), that information is submitted and managed by the Account Holder, not by the Athlete directly.
3. Information We Collect
Parent/guardian (Account Holder) information:
- Account and contact information you provide when creating your Academy account (such as name and email address).
- Checkout and payment-related information collected at the time of purchase. Full payment card details are handled by our payment processor, not stored directly by the Academy — see "Service Providers" below.
- Information submitted through waitlist forms or the contact form on our site (such as name, email, and any message you send us).
- Records of the emails and other account communications we exchange with you through the platform.
Athlete information:
- Assessment videos submitted by the parent/guardian through our approved video-submission process.
- A file-naming or identification convention associated with submitted assessment videos.
- Performance and assessment notes, placement guidance, and coaching feedback that Coach records in the course of reviewing the Athlete's training.
We do not collect information directly from the Athlete, and the Athlete is not asked to create an account or submit information on their own behalf.
4. How We Use Information
We use the information above to create and administer your account, process payment for your membership, deliver the training curriculum and coaching services, review submitted assessments and provide placement/modification guidance, respond to waitlist and contact-form inquiries, and communicate with you about your account and membership.
5. Service Providers
We use the following third-party providers to operate the Services. Each processes information on our behalf and maintains its own privacy practices:
- Kajabi — our website, membership platform, and account-hosting provider. Kajabi processes the account, checkout, and platform-usage information described above. See Kajabi's own privacy policy for details on its handling of this data.
- Kajabi Payments (and/or its underlying payment processor) — used to process membership payments. The Academy does not directly store your full card number.
- Dropbox — used to receive assessment videos that parents/guardians submit through a Dropbox File Request. Dropbox is used solely as a file-submission mechanism for this purpose and is not otherwise integrated with the Academy's platform.
We do not currently use any advertising, analytics, or marketing platform beyond the Academy's own Kajabi-based email tools (see "Cookies and Tracking Technologies" below).
6. Cookies and Tracking Technologies
As of the date of this Policy, the Academy's site uses only the functional cookies necessary for our platform (Kajabi) to operate — for example, to keep you logged in and to support checkout. We do not currently use Meta Pixel, Google Analytics, or any other advertising or analytics tracking technology, and no third-party cookie-consent management tool is currently installed. If that changes in the future, we will update this Policy to describe any additional technology in use and, where required, provide an appropriate consent mechanism.
7. Data Retention
We retain information for as long as necessary to provide your membership and to meet our legal, tax, and accounting obligations. We have not yet finalized specific retention periods for each category of information described above; this section will be updated once those periods are set.
8. Minor/Athlete Information — Additional Notes
The Athlete does not hold a Kajabi account, does not log in directly, and does not submit information on their own behalf under the Academy's current operating model; the parent/guardian Account Holder does so instead. This Policy does not make any determination as to whether the Children's Online Privacy Protection Act (COPPA) or any other children's-privacy law applies to the Academy's practices — that determination is reserved for attorney review and is not represented here as complete, compliant, or exempt.
9. Data Security
We use reasonable measures to protect the information described in this Policy, including relying on the security practices of the third-party providers listed above. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
